The Placement Spot (“we”, “us”, “our”) is a placement and recruitment consultancy based in Jaipur, Rajasthan. This Privacy Policy explains what personal information we collect through our website theplacementspot.in and our recruitment services, how we use and share it, and the choices you have. It applies to job seekers (“candidates”), employers and clients, and anyone who visits our website or contacts us.

By using our website or sharing your details with us, you agree to the handling of your information as described here. Please also read our Terms & Conditions.

1. Information We Collect

We collect only the information you choose to give us, and a small amount of technical information needed to run the website securely.

Candidate information

When you apply for a job through the “Apply for this Job” form on a job page, we collect:

your name, email address and phone number;
your experience level and any message you write;
your resume, if you attach one (PDF, DOC or DOCX).

We may also receive the same kind of information when you send your resume or details to us by email, phone or WhatsApp, or meet our team in person.

Employer and client information

When you use our “Share Your Hiring Requirement” or “Post a Job” forms, we collect your company name, your name, phone number, email address and company address, and the details of the vacancy (job title, location, salary range, experience, qualification and description).

Contact form and enquiries

When you use our Contact form, or contact us by phone, email or WhatsApp, we collect your name, email address, phone number and the content of your message.

Technical information

Like most websites, our web server records basic technical information when you visit, such as your IP address, browser type and the pages requested. Our forms also use your IP address for a few seconds to block repeated automated submissions (spam protection).

2. How We Use Your Information

Recruitment and placement: to review applications, match candidates with suitable job openings, share suitable profiles with employers, and coordinate interviews, selection and joining.
Employer services: to understand hiring requirements, source and shortlist candidates, publish approved job openings and provide the recruitment services you ask for.
Communication: to reply to your enquiries and to contact you by phone, email or WhatsApp about your application, a job opening or your hiring requirement.
Chat assistant: to answer the questions you ask in our website chat (see Website Chat Assistant).
Running the website: to keep the website secure, prevent spam and misuse, and fix problems.
Legal obligations: to meet our obligations under applicable law and to protect our legal rights.

We do not sell your personal information, and we do not use it for advertising.

With employers: if you are a candidate, we share your profile and resume with employers for job openings that match your application or profile, because this is necessary to provide our recruitment service.
With candidates: if you are an employer, we share relevant details of your vacancy (for example, the role, location and salary range) with suitable candidates. Your contact details from a “Post a Job” submission are not shown publicly.
Service providers: our website hosting provider and email services, which process information only to run the website and deliver messages. When the website chat assistant’s AI feature is enabled, this also includes our AI service provider, which processes the questions you type in the chat to generate answers (see Website Chat Assistant).
When required by law: to comply with a legal obligation, a court order or a lawful request from a government authority.

4. Third-Party Services and Links

Google Maps: our Contact Us page shows an embedded Google Map of our office. When the map loads, Google may collect information such as your IP address and may set cookies, under Google’s own privacy policy.
WhatsApp: the WhatsApp button opens a chat with us in WhatsApp. Messages you send there are handled by WhatsApp under its own privacy policy.
Social media: links to our Instagram, Facebook and LinkedIn pages take you to those websites, which have their own privacy policies.

We are not responsible for the privacy practices of these third-party services.

5. Website Chat Assistant (AI)

Our website has an automated chat assistant (“TPS Assistant”) that answers questions about our jobs, applications, recruitment services and how to contact us. Using it is optional — you can apply for jobs and contact us without it.

What happens to your chat messages

Quick-reply buttons (such as “Find Jobs” or “Contact HR”) are answered by our own website. They are not sent to an AI provider.
Questions you type: when the chat’s AI feature is enabled, the text you type, together with your earlier messages in the same conversation (up to the last 8) and information taken from our website (pages, policies and open job listings), is sent from our website’s server to our AI service provider so that it can generate a reply. The AI feature is currently not enabled, so typed questions are answered from our website only and are not sent to any AI provider.
Purpose: the provider processes these messages on our behalf only to generate answers for you. We do not use chat messages for advertising, and we do not sell them.
Third-party processing: the AI provider handles the messages under its own terms and privacy policy and may process them outside India. Providers may keep request data for a limited period, for example for security and abuse monitoring, as described in their policies.
Safeguards: before a typed message is sent, our website automatically removes email addresses and phone numbers it detects. This is a safeguard, not a guarantee, so please do not type personal details, documents or other sensitive information in the chat. To apply for a job or share a vacancy, please use the forms on our website.
If the AI feature is turned off or temporarily unavailable, the assistant answers from our website only, and your message is not sent to an AI provider.

What we keep

We do not store chat conversations on our website, and we do not add them to your job application or enquiry.
Your browser keeps the current conversation in its session storage so the chat stays open as you move between pages. It is removed when you close the browser tab or press the chat’s close (×) button.
To prevent misuse, our website counts chat messages per visitor for up to 24 hours, using a coded (hashed) form of the IP address rather than the address itself.

The chat assistant is automated and can make mistakes. The job details and policies published on our website, and information from our team, take priority over chat answers. The assistant cannot submit applications, see application status or schedule interviews.

6. Cookies

Our website does not use advertising cookies or third-party analytics tracking. Cookies may be set in these cases only:

Necessary cookies: WordPress sets cookies when an administrator or employer logs in, and our hosting and caching setup may use technical cookies needed to deliver pages correctly.
Comments: if you leave a comment on a blog post and choose to save your name and email, WordPress stores them in cookies on your device for your next comment.
Embedded content: the Google Map on the Contact Us page may set cookies, as described above.

You can block or delete cookies in your browser settings. Blocking necessary cookies may affect logging in.

7. Data Security

We use reasonable technical and organisational measures to protect your information, including secure form handling and spam protection. Records submitted through our forms are kept in the private administration area of our website, which only authorised team members can access. Resumes attached to job applications are sent to our HR email and are not stored on the website itself. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. How Long We Keep Information

We keep personal information only for as long as it is needed for the purposes described in this policy — for example, while we are considering you for suitable opportunities or providing services to your company — and as required by law. When it is no longer needed, we delete it or make it anonymous. You can ask us to delete your information at any time (see below).

9. Your Choices and Rights

Subject to applicable law, including India’s Digital Personal Data Protection Act, 2023, you can:

ask what personal information we hold about you;
ask us to correct or update inaccurate or incomplete information;
ask us to delete your information, or withdraw your consent to us using it (this may mean we can no longer consider you for job opportunities);
ask us to stop contacting you;
raise a concern or grievance about how we handle your information.

To make a request, email hr@theplacementspot.in or call us. We may need to confirm your identity before acting on a request, and we will respond within a reasonable time.

10. Children’s Privacy

Our website and recruitment services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time, for example if our services or the law change. The updated version will be posted on this page with a new “Last updated” date. Please check this page from time to time.
